Cancellation Policy: Camp Programs

The policy is applicable to camp program registrations only, including Cub and Scouts BSA overnight summer camp, Discovery Camps, North Wind, Snow Base, Polar Cubs, Fall Day Camp, Spookyree, Home School Day, and Open Climbs.

  • All programs collect and retain a deposit* that is non-refundable and non-transferable. Any cancellation results in the loss/forfeit of fees paid for the deposit.
  • Requests for refunds/cancellations/rescheduling need to be made in writing (preferably via email to [email protected]).
  • Cancelation Timeline:
    • 30 days prior to program session = full refund less the deposit.
    • 29 to 8 days prior to program session = full credit less the deposit.
    • 7 days prior to program session = full forfeit of fees paid.
  • Credits will be available for 365 days and can be used for any facility rental or program operated by the Northern Star Camping Department.
  • Rescheduling requests without loss of deposit are allowed once per original reservation under the following terms.
    • Reschedule requests must be within the same season.
    • Rescheduling requests received less than 8 days in advance of the scheduled arrival will not be honored.

*Programs collecting the entire fee at the time of registration will designate and advertise the portion considered to be the deposit (which is non-refundable and non-transferable).

Exceptions due to Illness or Death in the Family

  • If cancelation is necessary, the individual will receive a full refund less the deposit if notification is received prior to the end of the first day of the session.
  • Rescheduling to a new session in the same season is possible without loss of deposit.

Guidelines for Program Changes Due to Severe Winter Weather

  • The following conditions will be evaluated when making the decision to alter camp programming due to severe winter weather.
    1. Heavy snowfall that could impact safe travel conditions to or within camp.
    • Icy or slippery road conditions that could impact safe travel to camp.
    • Extreme cold: Cub programs will typically not operate if the forecast temperature is 25 degrees below zero (with or without windchill).
  • Decisions for closing camps or altering programs will be made by the Director of Camping and Properties or the Camp Director. Be aware that programs may be modified (and still operated) based on severe cold weather conditions. Closings will be communicated via email and/or the weather hotline (612) 261–2448.
  • Most often, we will not close the camps.
  • When camps are officially closed, fees will either be transferred to another session within the program or refunded.
  • It is not our intent to second-guess the judgment of a unit leader. If Northern Star Council Camps do not officially close, the Director of Camping may approve transferring fees paid by a unit to another weekend or event if the unit leader determines conditions to be unsafe for travel to camp AND if they notify the council office (before camp starts) that they will not be able to attend camp.

Cancellation Policy: Facility Rental

  • All facilities collect and retain a deposit* that is non-refundable and non-transferable. Any cancellation results in the loss/forfeit of fees paid for the deposit.
  • Requests for refunds/cancellations/rescheduling need to be made in writing (preferably via email to [email protected]).
  • Cancelation Timeline:
    • 30 days prior to arrival date = full refund less the deposit.
    • 29 to 8 days prior to arrival date = full credit less the deposit.
    • 7 days prior to arrival date = full forfeit of fees paid.
  • Credits will be available for 365 days and can be used for any facility rental or program operated by the Northern Star Camping Department.
  • Rescheduling requests without loss of deposit are allowed once per original reservation and may incur a rescheduling fee.
    • The rescheduling fee is $25.00.
    • Fees will be incurred when a change is requested less than 31 days prior to the arrival date.
    • Rescheduling requests received less than 24 hours in advance of the scheduled arrival will not be honored.

*Facilities collecting the entire fee at the time of registration will designate 35% of the fee to be the deposit (which is non-refundable and non-transferable).
